Square Shifts vs Maxuod Shift: Keep Staff Work in Your POS?

If your staff records need to stay beside Square sales and attendance, evaluate Square Shifts first. If Square already handles checkout while a separate process handles actual time and payroll, try Maxuod Shift to prepare one location's weekly schedule, review totals and export the record.

We would not move a working staff process just to obtain a larger free roster. An independent scheduler leaves the handoff between systems with the manager. That can be acceptable when the handoff is clear; it is a poor trade when the same information must be repaired in two places every week.

Compare the same three pieces of work

The Canadian Square Shifts page describes a connection with Square POS and Dashboard, including time tracking and labour reporting. That is a material strength for an operator already using Square, not an extra feature to dismiss.

Square's scheduling instructions support exact-time recurring availability and up to three shifts per person per day. Time off, swaps, overtime tracking and tip pooling require Plus. Check those gates against the first exception your team actually needs to handle.

For example, a student available only after 5:30 p.m. needs that boundary respected, not a broad “evening” label. Maxuod Shift's manager must check exact-time constraints before publication; it is not an automatic assignment engine. A feature row does not prove either candidate has completed that check for your roster.

Count the owner before pricing a ten-person roster

Consider a fictional Halifax café with nine employees and an owner who covers the counter. Four counter staff each have 24 scheduled hours, three kitchen staff each have 30, two support staff each have 16, and the owner has 18. The planning total is 96 + 90 + 32 + 18 = 236 hours across ten people. Those are illustrative scheduled hours, not approved payroll hours or a recommended staffing level.

Square's Canadian page lists Free for up to five team members, including the account owner, and Plus starting at CAD $4.50 per member per month, also including the owner. At that starting rate, ten billable members × $4.50 = CAD $45 per month. This is an illustrative subscription estimate, excluding tax, discounts and other Square costs; confirm the actual account quote.

The owner matters even in a smaller team: four employees plus the owner reach five; five employees plus the owner reach six. Counting only wage-paid employees can put the comparison on the wrong side of a plan limit.

Maxuod Shift Free supports 12 active employees at one location and eight weeks of saved history. If the café enters the owner as a tenth active roster record, the example fits that capacity. It still lacks Square's POS connection. The price difference is not a savings claim: list the required work left outside each subscription before deciding which cost is acceptable.

An independent week needs an explicit handoff

The no-account employee schedule maker accepts up to six employees and produces a PDF. Build a smaller representative week there first. Save starts the signup-and-import flow for that guest schedule; it is not an import of Square staff, punches or sales. A ten-person test needs the saved account rather than pretending a six-person sample proves full-roster fit.

In the saved workflow, the manager prepares the week, checks employee totals and gives the appropriate file to the time-and-payroll reviewer. Keep scheduled hours distinct from evidence of actual work. Agree which record owns corrections and who approves the final handoff. Maxuod Shift does not run payroll, transfer tips, integrate with POS data or automatically schedule staff.

A closing shift can cross midnight when its duration is under 24 hours. Enter and review the end day instead of shortening the row to make it fit a calendar date. That scheduling support does not settle breaks, overtime, holiday treatment or payroll attribution.

For tip math, the restaurant tip calculator produces a reviewable split and export. It does not pay anyone. If connected tip administration is essential, treat it as a purchase requirement rather than substituting a calculation for a money-transfer workflow.

Test the point where the two records could disagree

Use one upcoming week with an availability restriction, an owner shift and a changed close. Ask another manager to identify the current schedule and explain where a late finish would be corrected. Keep the live staff process unchanged while evaluating the candidate.

Stay with Square when the connected record is part of the work you rely on. Test Maxuod Shift when the independent schedule and reviewed export complete the missing task without creating another correction loop. If neither makes the final record clear, keep the current process and investigate that boundary before migrating.
