How to schedule a restaurant shift that ends after midnight

Enter one overnight restaurant shift, check next-day coverage, and keep planned clock hours separate from actual time, daylight saving and payroll review.

A restaurant shift from 10 p.m. to 2:30 a.m. is one continuous assignment with two calendar dates. Enter it on the date it starts, mark its end as the next day, and check the employee’s next assignment before publishing. Midnight is not a reason to create a second worker, repeat the hours or turn a planned shift into a payroll decision.

It does not design a rotating night roster; use the fixed-night coverage template for that separate planning task. A valid schedule entry still does not establish paid hours, a lawful rest period or the provincial workday used for overtime.

Start with the closing work, not the last booking

List what must happen after the final guest leaves: cleaning, food storage, cash handoff, equipment checks and locking up. Assign the duties and the person accepting the handoff. If the last order is at midnight but safe closing work normally continues afterwards, a shift ending at midnight leaves that work unassigned.

Use an expected finish as a planning input, then ask the closer to confirm it is workable. Do not pretend the planning time is an observed average or promise that every close will finish on time. A large late table, equipment fault or missing colleague can change the actual finish. Keep a route for the employee to report that change.

Check the following morning as well. Moving someone’s close later while leaving their opening unchanged changes the gap between assignments. The manager must review availability, transport, rest, breaks and applicable employment rules; the schedule’s arithmetic is only one part of that decision.

Enter 22:00–02:30 once, with Next day selected

  1. Open the free employee shift schedule maker and choose the week containing the start date.
  2. Add the employee and open the shift editor on that date. In this fictional example, the shift starts Wednesday, October 7, 2026.
  3. Choose 22:00 as the start and 02:30 as the end. Under End date, select Next day, then save the shift.
  4. Inspect Wednesday’s entry and Thursday’s continuation. Both views refer to the same assignment; do not add another Thursday shift to represent its tail.
  5. Review the employee’s other assignments and the coverage needed after the last order. Save a PDF only after the week reflects the approved plan.

With Same day selected, that end time would precede the start and the editor rejects it. Next day supplies the missing date relationship. An end of exactly midnight is 00:00 on the next day, not 24:00 typed into the new-shift form. The product accepts positive shifts shorter than 24 hours; a full-day or longer assignment needs a different operational plan, not a workaround that disguises its length.

On a night without a clock change, this example contains 270 planned clock minutes: two hours before midnight and two hours thirty minutes afterwards. Those parts describe the calendar display. They do not divide the employee’s legal workday or establish 4.5 payable hours.

An assignment beginning exactly at 02:30 is not an overlap in the time grid. It can still be a poor or impermissible arrangement once travel, fatigue, responsibilities and applicable rules are considered. Do not use “no overlap” as a green light for a close followed immediately by another shift.

At the week boundary, a Sunday close can appear as a continuation on Monday. Your payroll period and provincial workday may require a different allocation. Keep that distinction visible in the handoff rather than changing the source row to make a report look convenient.

A clock-change night needs a second record

The workplace time zone matters more than the manager’s phone location. The National Research Council explains that time-zone and daylight-saving arrangements are generally provincial or territorial, with local exceptions. Confirm the restaurant’s actual location and current local-time arrangement; do not infer it from a province name alone.

If clocks move during a shift, subtracting the displayed start from the displayed end can differ from elapsed time. A repeated time also needs enough evidence to distinguish which occurrence was worked. Retain dated clock records, the workplace time zone, breaks and authorised corrections. A planned grid is not that evidence.

For affected overnight shifts, Maxuod Shift does not confirm an automatic provincial premium amount. Have the allocation reviewed and record approved adjustments through the account workflow. Finish with actual hours and the next manager’s handoff

After service, compare the actual finish with the plan. Record a late departure, missed punch or disputed break through the approved correction process. The missed clock-out guide explains what facts to collect. Do not simply reuse 02:30 because it was printed on the schedule.

The Canadian Centre for Occupational Health and Safety treats night work as a fatigue and scheduling consideration. Review the whole pattern, not just the duration of one close. Its guidance is not a substitute for the rest requirements or agreements applying to your employees.

Neither option runs payroll or approves your staffing level.

Before the next service, hand off the closing owner, expected finish, unresolved exceptions and the person reviewing actual hours. The work is complete when the next manager can tell which plan employees should follow and which time records still need approval.
